Notes V Privacy Policy

1. Overview

Notes V is a note-taking and productivity application that may provide features including notes, checklists, drawings, images, document scanning, OCR, reminders, voice recording, meeting recording, transcription, summarization, translation, AI-assisted note tools, and cloud synchronization.

This Privacy Policy explains what information Notes V may collect, how it is used, when information may be processed by third-party services, and the choices available to users.

2. Guest Mode and Local Data

Notes V may allow users to use certain features in Guest Mode without creating an account. Guest notes and related data may be stored locally on the device.

Some local processing features, such as supported offline speech processing or OCR operations, may run directly on the user's device without sending the underlying content to a remote server.

Users should be aware that deleting the application, clearing app storage, or deleting guest data may permanently remove locally stored guest content.

When a user creates an account, signs in using email and password, or continues with Google, Firebase Authentication may process information such as:

4. Notes and Cloud Synchronization

For signed-in users, Notes V may synchronize notes and related app data using Firebase services such as Cloud Firestore and Firebase Storage.

Depending on the feature being used, synchronized information may include note text, checklist items, note settings, timestamps, references to files, images, drawings, audio, and other user-created content.

Guest Mode content may remain local unless the user chooses to create or upgrade to an account and the application provides a migration or synchronization function.

5. Photos, Camera, Documents, and OCR

Notes V may request access to the camera or user-selected photos and files when the user chooses features such as document scanning, image attachment, OCR, or note creation from documents.

Where processing is performed locally, the image or document may remain on the device. Where a selected feature requires cloud storage or remote processing, the relevant image, document, extracted text, or related data may be transmitted securely to the service required to provide that feature.

Photos and documents are collected only when users choose to use features that require them.

6. Voice and Audio Recordings

Notes V may request microphone access when the user chooses voice dictation, voice recording, meeting recording, transcription, or similar features.

Some speech processing may occur locally on the device. When cloud speech-to-text processing is used, an audio recording may be temporarily uploaded to secure backend infrastructure for transcription.

Temporary cloud audio files used for speech processing are intended to be deleted after processing. Automated cleanup mechanisms may also remove abandoned temporary files.

Users are responsible for obtaining any consent required by applicable law before recording other people or meetings.

7. AI Features

Notes V may provide AI-assisted features including Ask Notes AI, grammar correction, rephrasing, note generation, summaries, and meeting summaries.

When a user chooses an online AI feature, the text or other content required for that specific request may be securely transmitted to the Notes V backend and then processed by configured third-party AI service providers.

These providers may include services such as Groq, OpenRouter, Gemini, Deepgram, Gladia, Speechmatics, AssemblyAI, or other configured providers, depending on service availability and app configuration.

Notes V does not intentionally send a user's entire notes collection to an AI provider unless the selected feature requires the relevant note content to fulfill the user's request.

8. Advertising and Advertising SDKs

Notes V may display advertisements using third-party advertising services, including Unity Ads and Unity LevelPlay, and may support other configured advertising providers.

Notes V does not intentionally provide personal note text, voice recordings, photos, documents, or AI prompts to advertising providers for advertising purposes.

9. Diagnostics and Security

Notes V and integrated service providers may process limited technical information needed to operate, protect, diagnose, and improve the application. This may include device identifiers, app diagnostics, service errors, and app interaction information.

Notes V uses Firebase security controls and may use Firebase App Check with Android Play Integrity to help protect backend services from abuse and unauthorized requests.

10. Data Transmission and Security

Information transmitted between Notes V, Firebase, backend services, and supported third-party providers is transmitted using secure network connections such as HTTPS/TLS where supported by those services.

No application, device, cloud service, or network can be guaranteed to be completely secure. Users should protect their device credentials, Google account, email account, and password.

11. Reminders and Notifications

If users create reminders, Notes V may schedule notifications on the device. Notifications may include note titles or short reminder content depending on the user's selected feature and device configuration.

12. Account and Data Deletion

Signed-in users can request deletion of their Notes V account and associated data using the Delete Account option available inside the application.

Account deletion may remove Firebase Authentication credentials, Firestore user data, stored files associated with the account, and other account-linked information handled by Notes V.

Certain limited records may be retained where required for security, legal compliance, fraud prevention, or reliable completion of a deletion request.

Third-party services used by Notes V may include Firebase services, Google services, AI and speech-processing providers, and advertising providers such as Unity.

Notes V does not sell users' personal notes, images, recordings, documents, account information, or other personal content.

Notes V is not specifically designed as a child-directed service. Parents or guardians should supervise use of the application by minors where required by applicable law.
